ASCAP Biometric Information Retention and Handling Policy
Effective Date: June 26, 2025
This Policy governs the treatment of Biometric Data (as defined below) that American Society of Composers, Authors and Publishers (“ASCAP”) on behalf of itself, its subsidiaries and either directly or indirectly through its contractors, service providers, or vendors (“Vendors”) collects, stores, uses, transmits, and/or uses, in accordance with applicable law, including but not limited to, the Illinois Biometric Information Privacy Act (collectively “Biometric Laws”).
“Biometric Data” generally means retina or iris scans, fingerprints, voiceprints, or scans of hand or face geometry, as defined by Biometric Laws, which are used to identify an individual, regardless of how it is captured, converted, stored, or shared.
Purposes for Collection and Use of Biometric Data
ASCAP or Vendors on ASCAP’s behalf, may collect, retain, and use Biometric Data (as defined under Biometric Laws) for the purposes of:
- Verifying your identity to identify, monitor and prevent fraud.
ASCAP and our Vendors may collect information via facial recognition or similar technology from an image (e.g., a selfie) or video (including audio) and from an image of your face as it appears on an identification document that you provide. This may be considered Biometric Data depending on your jurisdiction. Your information will be used to verify your identity for safety and fraud prevention. Your information may also be used to provide and improve ASCAP’s and our Vendor’s services. Your information may also be stored as proof of identity.
Security Measures
ASCAP and our Vendors will store Biometric Data using (1) a reasonable standard of care for its industry, (2) in a manner that is the same or exceeds the standards used to protect other confidential and sensitive information it holds, and (3) in accordance with applicable standards and laws.
Disclosures and Sharing
Neither ASCAP nor its Vendors sell, lease, trade, or otherwise profit from Biometric Data. Neither ASCAP nor its Vendors will disclose or disseminate Biometric Data unless such disclosure is required by applicable Biometric Laws.
Retention
Biometric Data will be destroyed (i) within a reasonable period of time after the initial purpose for collecting or obtaining the Biometric Data has been satisfied; or (ii) within 1 year of the individual’s last interaction with ASCAP, whichever occurs first.
